Will you hold a date?
NO, we do not hold dates without the initial venue fee payment and signed contract.
What is required to reserve a date?
A signed contract and a 50% venue fee is required to confirm a date. If your event date is within the next 90 days, we require payment in full including the damage deposit along with a signed contract.
When is the venue fee balance and damage deposit due?
Final venue fee payment is due 90 days prior to event date. May be paid in cash, check, debit or credit card.
The damage deposit must be paid in cash 30 days prior to event date.
How much is the damage deposit?
$400 for a standard event
Do you accept debit or credit cards?
YES, we accept debit or credit cards for the venue fee ONLY. (Damage deposits must be paid in cash.)
How long is my rental time?
The Royal is rented for a maximum of 8 hours which includes 2 hours for client set up and 1 hour for vendor and client clean up leaving 5 hours for the actual event. *additional hours are available for additional cost
What is the latest my event can end?
All events must end by 11 p.m. to allow 1 hr. for clean up & load out. Your time ends when our staff exit the venue. Failure to exit by 11:59 pm or at the designated rental time will result in the loss of your damage deposit.
Can I cancel my contract/date and expect a refund?
If you cancel your event date, no refund is granted unless the date is re-booked at an equivalent or greater rate. When the date is paid in full by the subsequent client, you may receive a venue fee refund less a $200 administrative fee.
When does my rental time end?
Your time ends when The Royal hosting staff locks up and leaves the building.
May I have early access to The Royal for rehearsal or to set up early?
Your rental contract states the time you may receive access to the venue. Your venue fee includes up to 8 hrs of access which includes 2 hrs. for set up and 1 hr. for clean up. The night before your event for a rehearsal is NOT included. Additional hours may be added for an additional fee.
Do I have to use a preferred caterer?
NO-We have highly recommended caterers on our website, but you are free to select any caterer provided they are approved by The Royal. If you select one of our recommended vendors, we make sure the insurance requirement is on file.
What is required for a caterer to serve at The Royal?
We require a copy of their certificate of liability insurance listing The Royal as additionally insured.
Can a friend/family member provide the food?
YES, but we require insurance on ALL food and beverage. A special occasion insurance policy must be purchased from Doug Robertson of Allstate Insurance 919-449-0007 drobertson1@allstate.com
Do I have to have a bartender serve beer and wine?
YES-A licensed & insured bartender is required for all alcohol which includes beer and wine.
Bartenders must provide ID & a copy of their certificate of liability insurance listing The Royal as additionally insured.
Do I need a Special Occasion permit from the ABC Commission?
YES-If you serve hard liquor (any alcohol other than beer, wine & champagne), the state of NC requires a 1 day permit. This must be on hand 60 days prior to your event date.
No-If you serve only beer and wine, then NO.
May I use a smoke, cool sparks or fog machine?
NO-this triggers the sprinklers and will ruin your event.
May I leave rental items overnight for next day pick up?
NO, all items must be removed from The Royal immediately following the event. Rental items may enter at the access time stated in your contract and must exit before the exit time stated in the contract.
What type of chairs are included in the standard rental rate?
Ivory vinyl chairs are included in your rental fee. (Mahogany chiavari chairs with black pads are available for an additional fee of $6.00 per chair.)
What is the latest date I may make changes to my floor plan? Your floor plan is final 30 business days prior to your event date. No changes may be made after this date.
